Privacy Policy — Sinodialect
Privacy Policy

How we handle your information.

Confidentiality is the foundation of how we work — and that applies to how we handle your data, not just what's discussed in a meeting. Last updated: July 12, 2026.

1. Who we are

Sinodialect provides personal interpreters and translators for business meetings, negotiations, and factory visits across China. This policy explains what information we collect through this website, why we collect it, and how it's used and protected. If you have questions, you can reach us at hello@sinodialect.com.

2. Information we collect

When you use the contact form on this site, we collect the information you choose to provide, which may include:

  • Your name and email address
  • Meeting details — city, date, meeting type, language pair, and any notes you share
  • Your phone number, if you contact us via WhatsApp or WeChat

We do not require an account, and we do not collect payment information through this website.

3. How we use your information

We use the information you submit solely to:

  • Respond to your inquiry and match you with a suitable interpreter
  • Prepare for your meeting — understanding the industry, terminology, or context involved
  • Follow up regarding ongoing or future engagements, if you've asked us to

4. Third-party services we use

To operate this website and contact form, we rely on a small number of outside services, each of which processes data according to its own privacy policy:

  • FormSubmit — processes and forwards contact form submissions to our email inbox
  • WhatsApp / WeChat — if you choose to message us directly through either app, that conversation is governed by that platform's own privacy policy, not this one
  • Our website host and WordPress — standard technical hosting infrastructure that may log basic access data (e.g. IP address, browser type) for security and performance

We do not sell, rent, or trade your information to third parties for marketing purposes.

5. Confidentiality of meeting content

Separately from this website's data handling, anything discussed during an interpreted meeting is treated as strictly confidential by our interpreters, in line with the standards described on our About page. We do not retain notes or discuss meeting content outside the engagement.

6. Data retention

We retain contact form submissions only as long as needed to respond to your inquiry or, if you become a client, for the duration of our working relationship and a reasonable period afterward. You may request that we delete your information at any time by emailing us.

7. Cookies

This website may use basic cookies required for standard WordPress functionality (such as remembering your session). We do not currently use tracking or advertising cookies. If this changes, this policy will be updated accordingly.

8. Your rights

Depending on where you're located, you may have the right to:

  • Request a copy of the information we hold about you
  • Ask us to correct or delete that information
  • Withdraw consent for us to contact you

To exercise any of these rights, contact us at hello@sinodialect.com.

9. Changes to this policy

We may update this policy from time to time as our practices or the tools we use change. The "Last updated" date at the top of this page will reflect the most recent revision.

Note: Because we serve clients globally and coordinate logistics across borders, we treat your travel itineraries, meeting details, and business agendas with the highest level of security. The information you share with us is used strictly to arrange your interpreter services and is never shared with third parties for marketing purposes.
